Features Overview

Club Term is built around the admin work that eats evenings at sports clubs: registers, groups, discounts, and invoices. This page summarizes what the product does today.

Programs, Groups & Sessions

• Three program types — drop-in, course, and holiday club — each with an optional description, age range, skill level, and default coach
• Groups (squads) with a name, optional program link, and optional maximum size — members are assigned manually
• Sessions with date/time, optional venue and coach, capacity, and price
• Automatic waitlisting when a session reaches capacity
• Coach preferences by day of week and program type, plus a default coach per program

Customers & Parent Portal

• Customer records for parents and their contact details
• Customers can be linked to an existing Club Term login, giving them a parent portal view of their bookings and invoices
• Portal invoices show the invoice number, amount, and your club's bank details for payment

Invoicing & Payments

• Booking a session automatically creates an invoice with a sequential invoice number — the reference parents use on their bank transfer
• Invoice emails you can send to customers (issued and paid confirmations), branded with your club's name and containing a link to the invoice in the parent portal
• Payments recorded against invoices; outstanding balances shown on the dashboard
• Manual bank-transfer reconciliation — you match the transfer to the invoice number and mark it paid; Club Term does not read your bank feed
• Card payments via Stripe Connect (planned) — not yet available; today parents pay by bank transfer
• Per-invoice currency — invoices keep the currency they were issued in; dashboard totals summarize in your club's default currency (GBP)
• Discount rules — percentage or fixed amount, applied to all sessions, holiday clubs, or a specific program, with minimum-booking and member-only conditions

Scoreboards

• Tournaments with matches and per-match player scores
• Team and venue details, scores, and player-of-the-match records

Team & Access Control

• Four fixed staff roles for account members
• Coaches see the session list and can record attendance (Sessions → [session] → roster → Attendance → Save)
• Multi-factor authentication available for admin accounts
• Row-level security on every table — one club's data is never readable by another

Billing

• Your Club Term subscription is billed through Paddle (our merchant of record) in GBP
• Starter, Pro, and Enterprise plans; eligible new subscriptions include a 30-day trial with payment details required at checkout
• Manage or cancel your subscription from Home → your club → Billing

On the Roadmap

Not yet available: automatic booking confirmations, payment reminders, session reminders, waitlist notifications, cancellation emails, weather alerts, SMS/WhatsApp messaging, progress reports, group messaging, and PDF invoice attachments.
