Facility Setup

Before you schedule sessions and take bookings, set up your club's venues, payment details, and team members in Club Term.

Venues

Navigate to Venues in your club account and click Add Venue. Each venue just needs a name — e.g., "Court 1", "Riverside Sports Ground", "Main Hall".

When you schedule a session, you can optionally assign it to one of your venues. The Starter plan supports one venue; Pro supports up to five; Enterprise is unlimited.

Payment Settings

Go to Settings → Payments to configure how parents pay you:

Default currency

Set the currency your club invoices in (GBP). This currency is used for new invoices and for the totals on your dashboard. Individual invoices keep the currency they were issued in.

Bank details

Enter the bank details that appear on your invoices so parents know where to send transfers:

• Account name
• Account number and sort code (UK transfers)
• IBAN and SWIFT/BIC (international transfers)
• Bank name

Card payments (planned)

Card payments via Stripe Connect are planned but not yet available — parents pay by bank transfer using the details above. When card payments launch they will apply only to payments from parents to your club (your Club Term subscription is always billed through Paddle).

Team Members & Coaches

Invite staff and coaches from Members. Each member gets a role with permissions — coaches can view their assigned sessions and record attendance without admin access.

Once members exist, you can set a default coach per program and coach preferences by day of week and program type from Coaches, so the right coach is pre-selected when you schedule sessions.

Customers

Add parents and participants from Customers before you start booking — a booking requires a linked customer. Customers with a linked Club Term login can see their bookings and invoices in the parent portal.

Capacity

Capacity is set per session when you schedule it. When a session reaches capacity, additional bookings are automatically placed on the waitlist.
