Staff & Roles

Manage coaches, admin staff, and access permissions across your sports club in Club Term.

Club Term supports multiple people working within the same club account, each with a role that determines what they can see and do.

Staff Roles

Club Term has four roles:

Owner

The account holder who set up the club. Owners have unrestricted access to everything:

  • All club settings, including payments (currency and bank details)
  • Billing and subscription management
  • Member management (invite, remove, change roles)
  • All programs, sessions, bookings, invoices, discounts, and customer data

Admin

Suitable for deputy managers or senior staff. Admins can manage everything operational:

  • Members and invitations
  • Venues, customers, programs, sessions, bookings, groups, and scoreboards
  • Invoices and payments — record payments and mark invoices as paid

Admins do not manage the subscription itself.

Coach

Designed for your coaching staff. Coaches can:

  • View the session list
  • Manage bookings and groups
  • Record attendance from the session roster

Coaches cannot manage venues, customers, invoices, payments, members, or club settings.

Member (parents)

Customers you invite are linked to your club with the member role, which holds no management permissions — they see the parent portal view of their own bookings and invoices, not your admin screens.

Inviting Staff

To invite a new member:

  1. Go to Members in your club account
  2. Click Invite Member
  3. Enter their email address and select their role
  4. They receive an invitation email with a link to join your club account

Changing Roles

A member's role can be updated at any time from Members. Changes take effect on their next request.

Removing Staff

Removing a member revokes their access to your club account. Their historical records (bookings, attendance) are retained.

Multi-Club Accounts

If you manage more than one club, each club is a separate Club Term account. People are invited to each account individually and may hold different roles across them — for example, a head coach might be the Owner of their own small club and a Coach at a larger academy.

Security & MFA

Staff can enable multi-factor authentication from their account security settings. When MFA is enabled, a second verification step is required at sign-in. Admin actions on sensitive data (such as scoreboards) additionally require an MFA-verified session where enforced.
